  • Arranging of the Annual General Meeting, Trustee meetings as well as any other member meetings
  • Attending to agendas, proxies, voting slips, nominations, drafting and typing of meeting minutes.
  • Storing and Maintaining of:
  • Minutes of meetings and minute books
  • Resolutions
  • Attendance registers
  • Registration of members, sectional title bond holders.
  • Participation quota of each member
  • Conduct and Management rules
  • Insurance policies
  • Permanent relevant records of the Body Corporate
  • Employee records
  • Assisting and advising the Board of Trustees on the procedural matters such as annual general meetings, special general meetings, quorums, proxies, resolutions, voting rights and related matters.
  • Preparing and dispatching of all notices to members of the Body Corporate.
  • Compilation, typing and distribution of circulars and/or newsletters.
  • Informing trustees of latest developments in legislation and other matters that may concern the Body Corporate.
  • Providing welcome letters and relevant documents to new members.
